Job Description

The Database and Donor Record Specialist supports the Donor Database and A/R Manager and Executive Director in ensuring the timely and accurate processing of financial transactions and daily administrative tasks. This position plays a key role in donor stewardship and organizational support, helping maintain a positive and professional image for the organization through precise recordkeeping, donor database management, and frontline office duties.

Essential Duties and Responsibilities

  • Open, sort, date-stamp, and distribute all incoming mail.
  • Accurately process daily financial transactions, including credit card charges and donations received via mail, the Clinic, Incoming, and Pet Supply.
  • Review and categorize gifts for proper campaign, fund, and appeal coding in Raiser's Edge.
  • Reconcile and batch all daily transactions; prepare and process daily bank deposits.
  • Enter donation transactions into Raiser's Edge with accuracy and attention to detail.
  • Create and update constituent records in the donor database as needed.
  • Maintain the integrity and organization of physical filing systems.
  • Notify the Executive Director of daily donation totals when amounts exceed $5,000.
  • Provide courteous and professional assistance in answering and directing incoming phone calls, as needed.
  • Assist staff with monetary transactions such as making change for the Pet Supply and Incoming areas.
  • May be called upon to assist with special events or fundraising initiatives as organizational needs evolve.
  • Perform general office tasks and other duties as assigned by the Executive Director.

Qualifications and Requirements

Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Excel and use of a 10-key calculator.
  • Working knowledge of donor database systems (Blackbaud’s Raiser's Edge preferred), computer operations, and basic accounting practices.
  • Ability to process credit card payments accurately and securely.
  • Strong data entry, reporting, and financial/statistical organization skills.
  • Excellent analytical and organizational abilities, with high attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and maintain accuracy under pressure.
  • Effective written and verbal communication skills; professional and courteous demeanor.
  • Ability to maintain confidentiality and collaborate effectively with staff, volunteers, and the public.

Education and Experience:

  • Prior experience working with donor databases and financial recordkeeping is preferred.
  • Experience in nonprofit administration, fundraising, or finance is a plus.
  • Spanish-speaking ability is a plus.

Physical Requirements

  • Frequently move in various environments, including tight spaces.
  • Remain stationary for extended periods.
  • Lift and organize materials up to 30 pounds.
  • Work primarily on a computer.

Environmental Conditions:

  • Exposure to loud noises, odors, and confined spaces.

Job Type: Part-time

Pay: $17.00 - $18.50 per hour

Expected hours: 24 per week
